Booth Expectations and Compliance Policy

The Central Plains Dairy Expo is committed to providing a professional, welcoming and productive trade show environment for attendees and exhibitors. All exhibiting companies and their representatives are expected to maintain their exhibit space and conduct themselves in accordance with the following standards throughout the Expo.

Participation as an exhibitor constitutes agreement to comply with all Central Plains Dairy Expo policies, published show hours, facility requirements and instructions provided by Expo management.

Booth Staffing

Exhibit booths must be staffed by at least one authorized company representative during all published trade show hours.

Exhibitors are responsible for scheduling sufficient personnel to ensure their booth remains staffed throughout the event, including during breaks, educational sessions and meal periods.

Booths may not be abandoned or left unattended for extended periods during show hours. Company representatives should be knowledgeable about the products or services being represented and prepared to engage professionally with attendees.

Booth Appearance and Sightline Requirements

Exhibitors are responsible for maintaining a professional, safe and orderly exhibit throughout the Expo.

The front 3 feet of each exhibit may not exceed 3 feet in height. This requirement is intended to preserve visibility and sightlines for neighboring exhibitors and attendees.

Displays, signage, banners, products, equipment, furniture and other booth materials must remain within the exhibitor’s assigned booth space unless otherwise approved by Expo management.

Signage, displays or other materials may not be placed in aisles or positioned in a manner that obstructs pedestrian traffic, neighboring exhibit visibility, emergency access or other exhibitors’ spaces.

Lighting must be directed within the exhibitor’s booth and may not shine across aisles or into neighboring exhibits.

Expo management reserves the right to require an exhibitor to relocate, lower, remove or modify any display, signage, equipment or other booth element that does not comply with these requirements.

Exhibit Hours

Exhibitors are expected to maintain a fully operational and professionally presented booth throughout all published trade show hours.

Packing products, literature, signage, displays or promotional materials before the official close of the Expo is not permitted.

Early Teardown and Departure

Booth teardown may not begin prior to the official close of the Central Plains Dairy Expo at 3:00 p.m. on Thursday.

Prior to that time, exhibitors may not:

  • Dismantle any portion of their booth or display;
  • Pack exhibit materials in preparation for departure;
  • Remove signage, products, equipment or booth furnishings;
  • Move vehicles or machinery from exhibit areas;
  • Abandon their booth prior to show close; or
  • Otherwise give the appearance that the company has concluded its participation in the Expo.

Travel schedules, flight arrangements, staffing limitations, driving distance or other travel considerations are not considered authorization for early teardown.

Any extraordinary circumstance requiring an exhibitor to leave before the official close must be communicated to and approved by Expo management.

Professional Conduct

Exhibitors and their representatives are expected to conduct themselves in a professional manner that supports a positive experience for attendees, fellow exhibitors, sponsors, facility personnel and Expo staff.

Exhibitors must comply promptly with reasonable instructions from Central Plains Dairy Expo management regarding booth configuration, safety, show operations or compliance with Expo policies.

Exhibitor Responsibility

The company purchasing exhibit space is responsible for ensuring that all employees, representatives, contractors and other individuals working within its exhibit understand and comply with Central Plains Dairy Expo policies.

Failure by an employee, representative or contractor to comply with these policies will be considered a violation by the exhibiting company.

Enforcement

Central Plains Dairy Expo management reserves the right to document and address violations of these policies.

Depending upon the nature, severity or frequency of the violation, consequences may include:

  • Requirement to immediately correct the booth or conduct;
  • Loss of preferred booth location or booth-selection priority;
  • Loss of sponsorship, speaking or promotional opportunities;
  • Loss of eligibility to reserve exhibit space for the following Expo; or
  • Denial of participation in future Central Plains Dairy Expos.

An exhibitor that dismantles or removes its exhibit prior to the official 3:00 p.m. Thursday show close may lose eligibility to reserve exhibit space for the following year’s Expo.

Failure to comply with instructions from Expo management or significant disregard for these policies may result in additional restrictions or denial of future participation.

No refund, credit or compensation will be provided as a result of enforcement of this policy.

Central Plains Dairy Expo management retains final authority regarding the interpretation and enforcement of all exhibitor policies.
